Privacy Policy

This policy explains how Amber Infotech handles personal data when institutes, their teams and students use Edvanta.

1. Who we are

Edvanta is a coaching-institute management service operated by Amber Infotech from Mohali, Punjab, India. In this policy, “Edvanta”, “we”, “us” and “our” refer to Amber Infotech in its operation of the Edvanta service.

2. Scope and the institute’s role

This policy applies to the Edvanta website, web application and related support communications. Coaching institutes decide which student, guardian, staff and enquiry information they enter into Edvanta and are responsible for having a lawful basis and providing any notices or obtaining any permissions required for that information.

We process institute-managed records to provide the service and separately handle account, subscription, security and support information needed to operate Edvanta.

3. Information we process

  • Account and contact information: names, usernames, email addresses, phone numbers, roles and authentication records.
  • Institute information: institute identity, address, branding, staff, courses, batches and operational settings.
  • Student and enquiry records: contact details, guardian information, admission details, notes, follow-ups and related documents.
  • Academic and operational records: attendance, schedules, study material, announcements and activity history.
  • Fee and subscription records: fee plans, instalments, collections, receipts, payment references, discounts, refunds and subscription status.
  • Technical and security data: device, browser, network, login, audit, diagnostic and usage information needed to secure and maintain the service.
  • Communications: support requests, feedback, email and message-delivery records.

4. Why we use information

We use personal data to provide institute workspaces; manage accounts and permissions; support enquiries, admissions, attendance, fees and communications; process subscriptions; prevent abuse; maintain security and audit records; troubleshoot the service; respond to support requests; and comply with applicable law.

We do not sell personal data.

5. Hosting and service providers

Edvanta is delivered over encrypted HTTPS connections and its primary application data is hosted in a secured data centre in India. We may use carefully selected providers for hosting, email, SMS or messaging delivery, payment processing, monitoring and customer support where needed to provide features chosen by an institute.

Providers receive only the information reasonably necessary for their service and are expected to protect it. We may also disclose information where required by law, to protect users or the service, or as part of a lawful business restructuring.

6. Children and student data

Edvanta may contain information about students who are under 18. Institutes must ensure that they are authorised to provide and use student data, including obtaining verifiable consent from a parent or lawful guardian where applicable. Edvanta should not be used to profile, track or advertise to children in a manner prohibited by law.

A parent or guardian seeking access, correction or deletion should normally contact the relevant institute first, because the institute manages the student record. They may also contact us at info@amberinfotech.com.

7. Retention and deletion

We retain information while an institute account is active and for as long as it is reasonably needed to provide the service, resolve disputes, maintain security, enforce agreements or meet legal, tax and accounting obligations. We do not retain personal data indefinitely merely because storage is available.

When information is no longer needed for its stated purpose and no legal requirement applies, we delete or anonymise it. Removal from encrypted backups may follow the normal backup-rotation cycle. Institutes may request account-data deletion by emailing info@amberinfotech.com; we will explain any information that must be retained by law.

8. Security

We use administrative, technical and organisational safeguards designed to protect data, including encrypted transmission, access controls, role-based permissions, audit records and secured hosting. No internet service can guarantee absolute security, so users must also protect their credentials and notify us promptly of suspected misuse.

9. Your choices and rights

Subject to applicable law, individuals may ask for information about processing, access, correction, completion or erasure of personal data, withdraw consent where processing relies on consent, and raise a grievance. Requests concerning institute-managed records may need to be verified with the relevant institute.

10. Changes to this policy

We may update this policy as Edvanta, its providers or applicable law changes. Material changes will be communicated through the service, by email or by another reasonable method. The date at the top identifies the current version.
